1. Introduction
DeepTech Career (“we”, “us”, or “our”) is a specialist recruitment agency based in the Netherlands, focused multiple sectors. We are committed to protecting your personal data and respecting your privacy in accordance with the General Data Protection Regulation (GDPR / EU 2016/679), the Dutch Implementation Act (UAVG), and the Dutch Telecommunications Act.
This Privacy Policy explains what personal data we collect through our website, our digital advertising (including LinkedIn Lead Gen Forms), and our recruitment activities, how we use it, with whom we share it, how long we keep it, and what rights you have in relation to it.

3. Scope of this Policy
This policy applies to personal data we process in the following contexts:

4. What Personal Data We Collect
4.1 Website visitors and contact form
When you complete our contact form or email us, we collect:

4.2 LinkedIn Lead Gen Forms
When you submit a LinkedIn Lead Gen Form in response to one of our advertisements, LinkedIn shares with us the information you choose to submit. This typically includes:

Your responses to any custom questions we include in the form
LinkedIn itself acts as a separate data controller for the collection of this data on their platform. We become the data controller once the data is transferred to us. LinkedIn stores lead data on their servers for up to 365 days, after which it is automatically deleted. 4.3 Candidates (job applicants)
When you apply for a vacancy we publish, we process:

Your name and contact details

Your CV, cover letter, and any attachments you provide

Your work history, education, skills, and certifications

Your LinkedIn profile URL (if provided)

Notes from interviews and communications with you

Assessment results, where applicable and with your prior knowledge
We only process candidate data for individuals who actively apply to a vacancy we publish or who respond to our published opportunities. We do not passively scrape or source candidate profiles for inclusion in a database without their knowledge.
4.4 Client contacts
For current, prospective, and former clients, we process business contact details such as name, job title, work email, phone number, company, and communications history.
4.5 Website cookies and technical data
Our website is hosted on Wix. Wix sets a limited number of strictly necessary cookies required for the website to function (for example, for security, load balancing, and to remember cookie preferences). These cookies do not require consent under the Dutch Telecommunications Act.
We do not currently use analytics cookies, advertising pixels, or tracking technologies such as the LinkedIn Insight Tag or Meta Pixel.. If we add such technologies in the future, we will update this policy and implement a cookie consent banner that requests your prior consent before any non-essential cookies are placed. Our web server may log basic technical information (such as IP address, browser type, and pages viewed) for security and fraud prevention purposes. This data is handled by Wix on our behalf.
5. How We Use Your Personal Data
We use personal data for the following purposes:

6. Legal Basis for Processing
Under Article 6(1) GDPR, we process personal data on one or more of the following legal bases:

Performance of a contract or pre-contractual steps (Art. 6(1)(b)): when we act on your request to engage with us as a client or candidate.

Legitimate interests (Art. 6(1)(f)): when we contact business representatives in the context of our B2B recruitment services, respond to enquiries, or introduce candidates to clients. Our legitimate interest is to operate and grow our recruitment business. We have balanced this interest against your rights and freedoms; you always have the right to object (see Section 10).

Consent (Art. 6(1)(a)): when you tick a specific consent checkbox (for example on a LinkedIn Lead Gen Form to be contacted about our services, or to be kept in our talent pool for longer than the statutory retention period). You may withdraw your consent at any time with effect for the future.

Legal obligation (Art. 6(1)(c)): when we need to retain or disclose data to comply with Dutch tax, administrative, or other legal requirements.
7. Data Sharing and Third Parties
We do not sell, rent, or trade your personal data.
We share personal data only in the following circumstances:

With our clients: if you are a candidate, we will share your CV and relevant profile information with the client for the vacancy you applied to, with your prior knowledge.

With our processors: suppliers who process personal data on our behalf under a data processing agreement (Art. 28 GDPR).

With professional advisors: such as accountants or lawyers, where necessary.

With public authorities: where we are legally obliged to do so.

8. International Data Transfers
Where possible, we store and process personal data within the European Economic Area (EEA). Some of our processors (such as LinkedIn and Calendly) are based in the United States or may process data in the United States.
Where personal data is transferred outside the EEA, we rely on one of the following safeguards under Chapter V GDPR:

An adequacy decision by the European Commission (for example, the EU–U.S. Data Privacy Framework for certified U.S. recipients)

The European Commission’s Standard Contractual Clauses (SCCs), supplemented where necessary by additional technical and organisational measures

9. Data Retention
We retain personal data only for as long as necessary for the purposes described in this policy, or as required by law. Specifically:

General enquiry and lead data up to 2 years after the last meaningful contact, unless a business relationship arises.

Candidate data (unsuccessful applications) up to 4 weeks after the end of the recruitment procedure, in line with the guidance of the Autoriteit Persoonsgegevens.

Candidate data in our talent pool up to 1 year after the end of the recruitment procedure, only with your explicit consent. We will ask again before retaining data beyond that period.

Client records for the duration of our business relationship and up to 7 years thereafter to comply with Dutch tax and administrative retention obligations.

LinkedIn Lead Gen Form data LinkedIn itself retains this data for up to 365 days. After transfer to us, our retention rules above apply.
10. Your Rights Under the GDPR
As a data subject, you have the following rights:

Right of access: to request a copy of the personal data we hold about you.

Right to rectification: to have inaccurate or incomplete data corrected.

Right to erasure: to have your data deleted, subject to our legal obligations.

Right to restriction: to limit the way we use your data.

Right to object: to object to processing based on our legitimate interests, including for direct marketing purposes.

Right to data portability: to receive your data in a structured, machine-readable format.

Right to withdraw consent: where processing is based on your consent, without affecting the lawfulness of processing carried out beforehand.
To exercise any of these rights, please email us at odrik@deeptech.career. We will respond within one month of receiving your request, in accordance with Article 12(3) GDPR. We may ask you to verify your identity before we act on the request.
11. Automated Decision-Making
We do not use automated decision-making or profiling that produces legal or similarly significant effects on you. Candidate assessments and client matching decisions are always reviewed by a human recruiter.
12. Source of Data Not Collected Directly From You
In some cases we receive personal data from sources other than you directly, in particular:

From LinkedIn, when you submit a Lead Gen Form (see Section 4.2)

From our clients, who may provide us with contact details of their employees involved in a recruitment project.
Where Article 14 GDPR applies, we will inform you about our processing within a reasonable period after obtaining your data, and at the latest within one month.
13. Right to Lodge a Complaint
If you believe we have not handled your personal data in accordance with applicable law, you have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens):

14. Data Security
We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or misuse. These measures include access controls, use of reputable service providers with documented security practices, encryption of data in transit, and periodic review of our processing activities. Access to personal data is limited to authorised personnel on a need-to-know basis.
15. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal obligations. The most recent version will always be available on our website, with the “Last updated” date at the top. For material changes, we will take reasonable steps to inform you directly where appropriate.
